Peppol in Odoo: Sending and Receiving Electronic Invoices
DAADit Group, Nick

In short: With Odoo you send and receive Peppol invoices without extra software. You switch Peppol on in the Accounting settings, register your company on the network and choose Peppol instead of email when you send an invoice. In Belgium, domestic B2B e-invoicing has been mandatory since 1 January 2026. In the Netherlands, Peppol is already mandatory for invoices to the government, but not yet for B2B.

Peppol (Pan-European Public Procurement Online) is the European network for electronic invoices. In Odoo, Peppol is already fully integrated. The only trick is setting it up properly. In this article you will read how to send Peppol invoices from Odoo, how to receive them, what the law requires in the Netherlands and Belgium, and what to do when your company is "not found" on Peppol.

What exactly is Peppol?

Peppol is not a program but a network with agreed rules. A Peppol invoice is not a PDF but a structured file that the recipient's accounting software can read directly. Every connected company has its own Peppol address (the Peppol ID). When you send an invoice via Peppol, it arrives straight in your customer's administration. Odoo takes care of the connection: you register your company from within Odoo itself.

What does Peppol deliver for you?

  • Invoices land directly in your customer's accounting system, with no PDF and no manual entry.
  • Processing often within 24 hours instead of days, so you get paid faster.
  • Fewer errors: no typos, no wrong amounts and no invoices in the spam folder.
  • You comply with the rules for invoicing the government in the Netherlands and Belgium, and with the Belgian B2B obligation.

An installation company that sends eighty invoices a month to contractors easily saves half a day of administration this way. And discussions about "never received" invoices disappear by themselves.

Peppol and the law: the Netherlands vs Belgium

There are many stories going around about the Peppol obligation. This is where things stand.

Belgium: mandatory since 1 January 2026

In Belgium, domestic B2B e-invoicing has been mandatory since 1 January 2026. Belgian companies therefore send their invoices to other Belgian companies electronically, via Peppol. Do you have a Belgian branch, or Belgian customers who ask for this? Then Peppol in Odoo is no longer a choice but a requirement.

The Netherlands: government yes, B2B not yet

  • Government (B2G): if you invoice the government, Peppol is already mandatory.
  • Between businesses (B2B): in 2026 and 2027 there is still no legal obligation for domestic B2B e-invoicing.
  • What is coming: the Dutch cabinet has chosen a broad implementation of the European ViDA rules. A bill is expected to go to the House of Representatives before the 2027 summer recess.
  • 2030: under ViDA, e-invoicing with digital reporting becomes mandatory across the EU for cross-border B2B as of 1 July 2030. According to market parties, the Netherlands is aiming for a domestic B2B obligation around the same date, but no final decision has been made yet.

Start now anyway? Many Dutch companies do, because customers and suppliers ask for it and because it saves time. Read more about the deadlines in our article on the Peppol obligation.

Enabling Peppol sending in Odoo

Go to Accounting → Settings → Customer Invoices. Activate "Electronic Invoicing" and "Peppol E-invoicing". Then register your company on the Peppol network. Odoo guides you through this step by step. You will need a Chamber of Commerce (KvK) number and a VAT number.

Enabling Peppol receiving

This is often forgotten: enabling sending does not automatically enable receiving. In the same settings, you explicitly switch on "Receive documents via Peppol". From that moment on, incoming invoices from other Peppol companies automatically arrive in your Vendor Bills, complete with lines, amounts and VAT. Ready to check and post.

So you no longer need to retype incoming Peppol invoices. Do check the vendor, the general ledger account and the VAT before you post. That way you keep control of your purchasing, even as the number of invoices grows.

Setting up Peppol customer by customer

For each customer you indicate whether they support Peppol. Open the customer record, go to the Accounting tab and enter the Peppol ID. That is usually the Chamber of Commerce or VAT number with a prefix, for example 0106 for a Dutch KvK number. When sending an invoice, you then choose "Send via Peppol" instead of email. Odoo remembers that choice for subsequent invoices.

How do you send a Peppol invoice from Odoo?

Is Peppol switched on and is your registration active? Then you create and send a Peppol invoice like this:

  1. Create the invoice via Accounting → Customers → Invoices and click New. You can also invoice from a sales order.
  2. Choose the customer and check that the customer record contains a Peppol ID.
  3. Fill in the invoice lines with products, quantities, prices and VAT. Also check your own company details, such as VAT number and address.
  4. Confirm the invoice. Only then does the invoice get a final number.
  5. Click Send and choose "Send via Peppol". Want to send the customer a copy by email as well? You can do that in the same screen.
  6. Follow the status. On the invoice you can see whether sending is still in progress, has succeeded or returned an error. In case of an error, the invoice tells you what is wrong.

Tip: send your first Peppol invoice to a friendly regular customer and give them a quick call to check that everything arrived properly. After that you can scale up with confidence.

Problem: "not found on Peppol"

Does a customer or supplier say your company can't be found on Peppol? Then check in Odoo under Accounting → Configuration → Peppol Registration whether your registration status is "Active". Registration via Odoo takes 1–2 working days before your address appears in the Peppol directory. Then go through these points:

  • Is the status still "Pending" after two days? Check that your VAT number has been entered correctly and completely, including country code.
  • Is receiving switched on? Without "Receive documents via Peppol" others cannot send you invoices.
  • Is the other party using the right Peppol ID? A wrong prefix or an old number also leads to "not found".

Common mistakes when invoicing via Peppol

  • Only enabling sending. You can then send Peppol invoices, but incoming Peppol invoices do not arrive.
  • Incomplete company details. A missing VAT number, KvK number or address causes problems during registration or sending.
  • Customers without a Peppol ID. If there is no Peppol ID on the customer record, Odoo cannot deliver the invoice via Peppol. Ask the customer for their ID.
  • Scaling up too fast. Test with one or two customers first before you send all your invoices via Peppol.
  • Not informing customers. Let your customers know that invoices will now come via Peppol, so nobody keeps waiting for a PDF.
